Cost Model for Vital Records​ Data

The ​California Department of Public Health (CDPH) conducts an annual analysis and updates their Cost Model for death data products. This page​ outlines the updated cost structure for specified Vital Records data products and services. The goal is to offer standard datasets, custom datasets, and data extractions at fair prices, enabling CDPH to recover reasonable costs while delivering timely, responsive service.

Death Tables:

  • Statewide Death Profiles – Yearly and monthly data on the number of deaths for the State of California as a whole; Includes tabulation by leading underlying cause of death categories
  • Death Profiles by County – Yearly and monthly data on the total number of deaths for California counties; Includes tabulation by leading underlying cause of death categories
  • Death Profiles by ZIP Code – Yearly data on th​​e number of deaths by ZIP Code for residents of the State of California

 California Vital Data Tool

  • Cal-ViDa – Users can create reports of birth and death data;  Counts can be grouped across the State of California​ or broken down by county, city, or ZIP Code; Demographic details (like race/ethnicity and education level) and health indicators (like birthweight and cause of death) are also available

​​ I. Custom ​Data for Research and Surveillance​

Up to five years of future data and all historic data can be requested. 

Future data can be delivered:

  • Annually – as a replicable or dynamic file​
  • Quarterly, monthly, or weekly – as a dynamic file only, unless specified otherwise 

​Prices are set according to the data type. For all custom data:

  • A base fee is applied for the first year of data
  • A discounted rate is applied to one-time data requests for 2+ years of data

II. Custom Data Analysis Requests (Tabulated Data)

Data are provided in an aggregate, de-identified format. The cost for a Custom Data Analysis Request is $100 per hour. This includes consultation, product development, de-identification, and technical assistance needed to produce data products.

Students may receive the first four hours of custom data services at no charge and subsequent hours at a rate of $100 per hour.

III. Data Policies

Data previously provided to researchers can continue to be utilized as long as the research project maintains an active approval from CPHS. Any change to the project scope or other deviation from the project as approved must be reviewed and approved by both CDPH and CPHS prior to implementation.

New data requests from research projects that have data previously provided must pay for any new data(sets) including new copies of data previously provided, when needed. The CDPH data retention policy is only 120 days. After that expiration, the existing application may need to be updated and fees will be incurred.

IV. Payment

HIRS only accepts checks and money orders at this time. Data will not be released until payment is made in full. If you have any questions regarding this policy or need assistance in requesting data, please contact HIRS staff at HIRS@cdph.ca.gov.​​​​​​
