The following is a quick reference specifically for STD CalREDIE users; this is not a comprehensive CalREDIE user’s guide.  For complete instructions, visit the CalREDIE Help website to obtain the User Guide and Reference Guide (http://www.cdph.ca.gov/data/informatics/tech/Pages/CalREDIEHelp.aspx).   

  1. Who should I contact with my CalREDIE-related questions?
    • For syphilis case management and reactor processing assistance, contact your State DIS liaison.
    • For questions on STD reporting/entry into CalREDIE, email the CalREDIE STD Team (STDCalREDIE@cdph.ca.gov).  
    • For general/technical CalREDIE assistance, contact the CalREDIE Help Desk by phone (866-866-1428) or email (CalREDIEHelp@cdph.ca.gov). 
  2. Why does an ELR result and/or treatment not appear on the Syphilis Summary Report?
    • This is a known issue awaiting CalREDIE technical assistance.  
  3. When do I need to complete the Health Department Follow-up tab? 
    • Completion of the Investigation Initiated, Referral to Health Department, Investigation Outcomes, and Investigation Closed sections are required for documenting contact investigation outcomes. These sections are optional for documenting positive test follow-up (Referral Basis: PT-Positive Test).
    • Completion of the HIV Test & Linkage to Care section is required for all syphilis investigations as well as for gonorrhea cases selected for CGSS. 
  4. Is there a print feature for the Health Department Follow-up tab (HDFU)? 
    • At this time, there is not yet a Data Distribution Portal (DDP) printable version of the HDFU.  While the HDFU form has replaced Field Records (FRs), FRs previously completed in CalREDIE are still available for printing through the DDP (https://calredie.cdph.ca.gov/CalREDIE_Export/login.aspx).  For investigators who still use the hard copy FRs, they can be found on the STD CalREDIE Resources page at http://www.cdph.ca.gov/programs/std/Documents/CA-STD-Field-Record.pdf.  Please note however that data entered into the FR (located in the Electronic Filing Cabinet) is not used for accessing DIS workload or investigation outcomes; only data in the HDFU is used.
  5. My patient exists in CalREDIE, but the record is masked from viewing because it belongs to another county.  How can I get access to these masked records?
    • Contact the jurisdiction of the patient’s most recent address to gain access to a patient’s masked information (see the State & County Contact List on the STD CalREDIE Resources page). Only Primary Jurisdictions have edit rights to an incident.  You can request the jurisdiction that owns the prior incident to grant you read access by setting the Secondary Jurisdiction to your jurisdiction. 
    • If the patient has since moved to your jurisdiction, you should create a new incident and indicate the address change is a “new version”.
  6.  Who should be the Primary Jurisdiction for cases diagnosed in jail, prison, or juvenile hall?
    • For all cases, the Primary Jurisdiction is the county where the patient resided at the moment of diagnosis.  For institutionalized persons with positive tests, this would be the institution’s jurisdiction. 
  7.  I received a follow-up serology for an inmate who recently transferred from another LHJ. The serology is not indicative of a new infection.  How do I enter this into CalREDIE?
    • Create a new incident with your LHJ as the Primary Jurisdiction, indicate the address change is a “New Version”, and enter the follow-up serology on the Lab tab.
    • Set the condition to the same as the prior incident on the Patient tab and the Resolution Status to “Previously Reported” on the Case Investigation tab.
    • DO NOT have the Primary Jurisdiction of the prior incident changed to your own, as this will change the county to which prior morbidity was assigned.  You can request that the LHJ who owns the prior incident set you as the Secondary Jurisdiction to allow read access. 
  8.  Who do I contact for syphilis history search requests?
    • Local syphilis history search functionality is available to LHJ users through the Data Distribution Portal.
    • For statewide (excluding Los Angeles and San Francisco) syphilis history searches, email the CalREDIE STD Team (STDCalREDIE@cdph.ca.gov) with the relevant CalREDIE Incident ID(s).  You will need to contact Los Angeles and San Francisco directly for searches in those counties.  See ‘Syphilis History Searches’ guidelines on the STD CalREDIE Resource page for more details.
    • For out of state searches, fax your search request to CDPH STD ICCR at 916-440-5348 or confidential secure email to STDSurv@cdph.ca.gov.  This request should include the patient’s name, DOB, specific city/state(s) requested, and any timeframes patient may have indicated.  See ‘Syphilis History Searches’ guidelines on the STD CalREDIE Resource page for more details.
  9.  Should serologic history from the legacy system be entered into CalREDIE?
    • Serologies previously entered into the STDCB legacy system do not need to be entered into CalREDIE 
    • Old serologies that were never entered into the STDCB legacy system may be entered into CalREDIE (e.g., old card files; “homegrown” local databases). Having this historical data in CalREDIE is valuable for generating complete syphilis summary reports.  To enter old serologies, create a new incident with the Disease Condition set as the last known syphilis stage, or “Syphilis Stage Unknown/Reactor” if not known.  Enter all locally available serologic history into the Lab tab.  Close the incident with Resolution Status of “Previously Reported” on the Case Investigation tab.  If available, enter associated treatment(s) into the Clinical Info tab. 
  10.  How do I close out reactors/CMRs in CalREDIE that are not being followed as new cases?
    • If the person has an existing syphilis incident in CalREDIE and the newly reported reactor/CMR is not indicative of a new infection and a new incident was created for these new reports, set the Disease Condition to the syphilis stage of the previously existing incident.  On the Case Investigation tab, set the Process Status to “Closed by LHD” and Resolution Status to “Previously Reported”. 
    • If the person has an existing syphilis incident in CalREDIE and the newly reported reactor/CMR is not indicative of a new infection and a new incident has not yet been created for these new reports, then attach the reports to the previous incident.
    • If the new reports are for a person who resides out of state, follow the CalREDIE Out of State protocol found on the CalREDIE Help page.
    • If the new reports are for a person whose last known infection was out of state, set the Disease Condition to the syphilis stage of the previous infection.  On the Case Investigation tab, set the Secondary Jurisdiction to “Out of State”, Process Status to “Closed by LHD”, Resolution Status to “Previously Reported”, and Imported Status to “Out of State”. 
  11. Why doesn’t the Laboratory tab information link to the lab section of the Case Investigation tab?
    • The lab fields on the Case Investigation tab are referred to as system fields; the ‘Summary’ section fields on the Laboratory tab for syphilis incidents are referred to as user-defined fields.  In CalREDIE, system fields cannot be linked to user-defined fields. 
    • Lab information on the Case Investigation tab is only meant for the initial lab report that resulted in the current investigation.  It does not link to the Laboratory tab since patients can have follow-up bloods that don’t need to be on the Case Investigation tab. 
  12.  Should I enter ELR data into the “Summary” section fields on the Laboratory tab for syphilis incidents?
    • This is not necessary.  The Syphilis Summary Report on the Data Distribution Portal includes lab results from both the “Summary” and the “ELR” sections of the Laboratory tab.
  13.  I am a local health jurisdiction user.  How do I assign a state DIS investigator to a case in CalREDIE?
    • On the Case Investigation tab, choose the appropriate state DIS investigator from the Investigator drop-down list.  Once this case has been assigned, it should appear on the investigator’s “My Case Load” screen at log-in.
  14.  How can I tell if I have any pending items in CalREDIE waiting for my review?
    • If you are identified as an Investigator in CalREDIE (i.e., your name appears in the Investigator dropdown list on the Case Investigation tab), the “My Case Load” tab will be the first page that you see after logging into CalREDIE.  This tab displays all incidents, outbreaks and contact investigations assigned to the user that are not yet closed.
    • “Jurisdiction Review” shows all incidents, outbreaks and contact investigations that belong to a user’s jurisdiction.  It can also be used to filter these items to a particular investigator and/or process status.
  15.  Can we run open IR lists in CalREDIE?
    • The open IR report, as well as several other STD-specific reports, can be run from the Data Distribution Portal.  All reports are generated on data uploaded the previous night into the data warehouse. 
  16.  Where do I enter AKAs for a patient that uses more than one name?
